DEFINITIONS

Translation project management: a discipline of planning, organizing, securing and managing resources to bring about the successful completion of specific project goals and objectives. Like any human undertaking, projects need to be performed and delivered under certain constraints. Traditionally, these constraints have been listed as "scope," "time," and "cost". These are also referred to as the "Project Management Triangle", where each side represents a constraint. One side of the triangle cannot be changed without affecting the others. A further refinement of the constraints separates product "quality" or "performance" from scope, and turns quality into a fourth constraint. The time constraint refers to the amount of time available to complete a project. The cost constraint refers to the budgeted amount available for the project. The scope constraint refers to what must be done to produce the project's end result. These three constraints are often competing constraints: increased scope typically means increased time and increased cost, a tight time constraint could mean increased costs and reduced scope, and a tight budget could mean increased time and reduced scope. The discipline of Project Management is about providing the tools and techniques that enable the project team (not just the project manager) to organize their work to meet these constraints.

Successful translation projects are not possible without professional management

Usually freelance translators don't have the time or desire to take care of organizational issues, such as terms and methods of payment (different with each client), invoicing, buying the needed software, involving colleagues to proofread their translations, implementing quality assurance procedures, etc. In our team, it is the project managers who take care of all the organizational aspects. Translators translate, proofreaders proofread, and managers manage in our team. Besides, our Project Managers are experienced translators, so they can translate urgent and small jobs without need to involve other translators. They also spot-check translations after they receive them from translators and proofreaders/QA managers before delivery.

The main tasks of our project managers are:

  • take care of communication with the client. Each our permanent client has his dedicated PM, who can be available online during the client's working hours. That is why, you can be sure, that you will receive replies to your messages and suggestions of new jobs very quickly.
  • choose the right contractors for this specific project
  • keep an eye on correct implementation of all the client's requirements
  • meet deadlines;
  • plan
  • instruct
  • monitor and control large amounts of data quickly and accurately
  • facilitate problem-solving and decision-making

Project Management Software:

We use a special Project Management software for Translation Agencies, which helps us to easily manage the database of projects, clients, suppliers, as well as quickly generate invoices and manage accountancy.
We are also in process of development of our own online management application, which should automate and facilitate all stages of project management process, from acceptance of new jobs, assigning it to suppliers, on out to QA, delivery, and e-invoicing. There will be also possibility for clients, suppliers (translators, proofreaders, QA managers, etc.), and PMs to communicate online with each other without any delays.
