About the client

Charité – Universitätsmedizin Berlin is a leading European university hospital and research institution. As part of its commitment to advancing medical education, Charité launched an E-learning Hub to support the continuous training of healthcare professionals in Ukraine. The platform combines video lectures, interactive lessons, and multilingual materials designed to strengthen medical knowledge and practice.

Project overview

Since last year, we’ve been the linguistic engine behind our client’s educational video platform. Working directly inside their site and portal, we localise an E-learning Hub that upskills Ukrainian medical professionals.

 

The Challenge

The localisation of Charité’s medical E-learning Hub required Translators Family to handle a large and technically complex workload within a short timeframe.
Among the main challenges were:

  • Unfamiliar environments and tools – Work was carried out directly in the client’s website backend and across new AI-based video platforms, requiring additional training for linguists and proofreaders.
  • Tracking and coordination – Managing hundreds of parallel tasks across multiple platforms made progress tracking difficult in the early stages, leading to the creation of an internal monitoring system.
  • Highly specialised medical content – The translation involved terminology-intensive texts that demanded rare subject matter expertise for the English/German → Ukrainian language pair.
  • High volume and tight deadlines – The March project alone required 900+ hours of work, demanding the rapid onboarding of new qualified medical translators through partnerships and referrals.
  • Technical limitations of AI tools – AI-generated translations often lacked context accuracy, and voice-to-text outputs were incomplete, requiring significant post-editing. AI tools didn’t accurately identify drug names and medical conditions, so thorough human research was required. Subtitle synchronisation and dubbing verification added further complexity.
  • Our Solution

      To meet these challenges, Translators Family assembled a multidisciplinary team of linguists, editors, and technical experts:
    • Two-step proofreading process – Every translation and video underwent two rounds of review to ensure medical accuracy, fluency, and contextual precision.
    • Expert medical linguists – A team of over 20 translators, editors, and DTP specialists worked under the guidance of five project managers.
    • Efficient tools and systems: Synthesia for translating short videos; Camb.AI for AI voice-to-text and video translation; SDL Trados for PDF and PowerPoint materials; Direct work on the client’s website backend for text localisation
    • Integrated quality and technical workflows – Editors corrected AI output, ensured dubbing synchronisation, and verified subtitle readability and alignment. DTP specialists prepared over 600 pages of presentation materials, ensuring layout and formatting accuracy.
    • Streamlined project management – A custom internal system was introduced to track every step of progress and ensure all deliverables met deadlines despite technical challenges.

    The Results

    • Successful localisation of 27 AI-dubbed lectures and nearly 100 e-learning lessons within just one month
    • Over 600 pages of educational presentations translated and formatted
    • Consistent terminology and professional linguistic quality across all content
    • AI-assisted processes refined and enhanced by expert human review
    • Seamless integration of translated materials into Charité’s E-learning Hub, enabling medical professionals in Ukraine to access high-quality educational resources

    New challenges
